Event lighting is temporary on purpose
Most outdoor lighting is an installation. Event lighting is built to come down. Weddings, parties, celebrations: set up for the date and removed after. The date does not move
Permanent work has flexible scheduling. An event has a date. The lead time is longer than the work implies. A small display still needs a site visit, a plan, a power solution and a crew on the calendar.
Power is the question nobody asks
Indoor events have outlets. A back yard, an outdoor venue rarely has power where the lighting needs to be. Where the power comes from, how far it has to travel, and how the cable is managed are questions worth settling early. A beautiful plan nobody can energize is not a plan.And whoever is handling the lighting needs to know about the other vendors, since everybody working that space is competing for the same power and the same corners.
The contingency conversation
Outdoor events are subject to whatever the day brings. It is worth having the rain conversation in advance, even though nobody enjoys it. Knowing the plan B before you need it is worth more than any fixture choice.
Priorities
At an outdoor event there are two jobs: making it look right and letting people move safely. The photographed parts are the string lights, the focal point, the backdrop. The functional parts are the walkways, the steps and the exits. Both need to be in the plan. Only one of them ends up in the photographs.
Who else needs to agree
If the event is at a venue, somebody else sets the terms. Access windows, what can be attached to what, whether anything can be staked into the ground, and when everything has to be gone belong to the property. Introduce them early. It is free and it prevents the most.
How much is actually enough
Planning an event, more feels safer. Dark surroundings lower the threshold, so what looks sparse on a plan often looks generous on the night. Contrast carries the atmosphere. Even brightness makes it look like a work site. A designer who says the plan is already enough is doing you a favor.
